Workflow playbook: Operations
Turn meeting notes into
a reviewable action register.
A useful first AI workflow starts with a familiar administrative task. Practice with fictional meeting notes before considering an organization-approved tool for real work.
Implementation playbook
- Define the boundary. Use the synthetic notes below. Do not include patient or confidential information.
- Request structure. Ask for actions, owners, deadlines and unresolved questions.
- Check unknowns. Confirm that suggestions did not become decisions and that absent details remain absent.
- Review before sharing. Compare every row with the source notes and name a final human approver.
Finished action register
| Action | Owner | Due | Status / open question |
|---|---|---|---|
| Draft onboarding checklist | Maya | Friday | Confirmed commitment |
| Evaluate shared room calendar | Unassigned | Not specified | Suggestion only; should the team test it? |
| Schedule follow-up meeting | Unassigned | Not specified | Who will schedule it, and for when? |
Reusable prompt
Using only the fictional meeting notes below, create an action register with these columns: action, owner, due date and open question. Do not invent missing owners or dates; write “unassigned” or “not specified.” Separate confirmed decisions from suggestions. End with a list of details the team needs to confirm. Fictional notes: At Monday’s staff meeting, Maya agreed to draft an onboarding checklist by Friday. The team discussed testing a shared room-booking calendar, but no decision was made. A follow-up meeting is needed; no owner or date was assigned.
Tool evaluation record
- Tool and version
- Record the organization-approved assistant and exact version before testing.
- Test input
- The synthetic meeting notes supplied in this sample.
- Acceptance test
- All three rows match the source; no owner, deadline or decision is invented.
- Sample status
- Not vendor-tested. This sample demonstrates the evaluation method, not a performance claim.
Human review checklist
- Every action is traceable to the original notes.
- Suggestions remain separate from confirmed decisions.
- Missing owners and dates are visibly marked.
- No patient, confidential or regulated information appears.
- A named person approves the register before it is shared.

The human checkpoint: Fluency is not evidence. Compare the draft with the source and decide whether it is appropriate to use.
